How do I generate the CCOS files for upload?

To generate the CCOS (Competency Completion Online System) data files from PowerPro, please do as follows:

1) Open the QI Reports>Process/Check Data Report as shown bellow:

This will open a pop-up window (bellow). There, select the time interval to look at (usually the previous calendar year) and hit the "Process" button:

Look through the rightmost column ("Qualification Rule") and check for any line reading "<NO MATCHING QUALIFICATION RULE WAS FOUND>" as per the example above. If there are any, it means that particular course (first column) has in invalid National Code (not aligned to your Qualification Rules) or that it is not a "Full Qualification" but is flagged as such. In the above example there is an obvious mis-match on the Course National Code for Course number 2. To fix this, close this window, adjust the Course appropriately and repeat the Process/Check Data process.

Once you have no more "mis-aligned" Courses, you can then do the following:

CCOS Generate Data Files

This will open the window as shown below. Confirm the year (hit Refresh if you change the year), Select the Output Folder where the data files are to be created. You can see a preview of the three files by navigating on the tabs. The first file (Organisations) should only have one line (with your RTO details). The second one (Qualifications) lists the numbers of Enrolments and Completions per Qualification. The last one lists the number of Enrolments and Completions per Unit per State/Territory. You can now click on "OK" to generate the files.

Your final step is to log on to the CCOS web site (http://rto.ncver.edu.au/) and upload your files. You should have a login and a password to log into the CCOS web site. Once logged in to the web site use the "Import" function from the menu to import the three files.
